QR code time clock
A QR code time clock that runs on any tablet
A QR code time clock replaces the punch card with a printed badge. Each employee scans their own code at a shared tablet to clock in and out, and the hours are calculated for you. KioskClock sets it up in about two minutes, with no hardware to buy and nothing for employees to install.
How a QR code time clock works
Every employee has a badge with a unique QR code. The time clock is a tablet with a camera, mounted or propped up where people arrive. When someone scans their badge, the system records the time against their name: the first scan starts a shift and the next one ends it.
With KioskClock, the badge is generated for you and the time clock is a web page. There are no employee accounts, passwords or PINs to manage, and no app to keep updated.
- Scan to clock in, scan again to clock out
- Name and time confirmed on screen after every scan
- Hours calculated to the minute, in your time zone
- A double scan within a minute is ignored, so nobody clocks out by accident
Why QR badges instead of PINs or apps
PINs get forgotten and shared. Employee apps need phones, accounts and permission to install. A printed QR code is fast at a busy shift change, works for people without a smartphone, and costs nothing to replace.
If a badge is lost, reissue it: the old code stops working immediately and the employee's history is untouched.
What you get on the dashboard
From any computer, you can see who is on the clock, review every shift and prepare payroll.
- Who's clocked in right now, and since when
- Hours per employee for any pay period (weekly, biweekly, semimonthly or monthly)
- Missed punches flagged, with two-tap fixes that are labelled as edited
- Excel and CSV export with totals and every shift
What you need
A tablet or laptop with a camera and a modern browser, an internet connection, and a printer. That's it. iPads, Android tablets and Chromebooks all work, and so do USB barcode scanners if you prefer a handheld scanner to the camera.
Frequently asked questions
How does a QR code time clock work?
Each employee gets a printed badge with a unique QR code. A tablet at your workplace runs the time clock in its web browser. An employee taps Scan badge and holds the code to the camera: the first scan clocks them in, the next scan clocks them out, and the hours are worked out automatically.
What tablet or device do I need?
Any iPad, Android tablet or laptop with a camera and a modern browser (Safari, Chrome, Edge or Firefox). Nothing to install: open the time clock page, allow the camera, and leave it running. USB and Bluetooth barcode scanners that type into the browser work too.
Do employees need an app, an email address or a password?
No. Employees never create an account or install anything. Their printed badge is all they need. Only the business owner signs in, with a one-time code sent by email.
What happens if an employee loses their badge?
Reissue it from the Employees page and print a new one. The old QR code stops working immediately, and the employee's hours history stays as it was.
Can employees clock in for each other?
A badge is like any key card: someone could scan a coworker's. The tablet shows each person's name in large type after every scan, so keeping it where a manager can see it is a strong deterrent, and you can reissue a badge at any time. Photo capture on scan is on our roadmap.
Does the time clock work without internet?
The tablet needs an internet connection when someone scans, because every punch is saved straight to your account. If the connection drops, the screen says so and the employee can scan again a moment later.
