How to use the time card calculator

  1. Enter the start and end time for each day worked. Overnight shifts (ending after midnight) are handled automatically.
  2. Enter unpaid break minutes, such as a 30-minute lunch, for each day.
  3. Optionally add an hourly rate and overtime rule to estimate gross pay.
  4. Use the decimal total for payroll software, or the hours:minutes total for timesheets.

Time card questions

How do I calculate hours worked with a lunch break?

Subtract the start time from the end time, then subtract the unpaid break. For example, 8:00 AM to 4:30 PM is 8 hours 30 minutes; minus a 30-minute lunch gives 8 hours, or 8.00 decimal hours.

How do I convert minutes to decimal hours?

Divide the minutes by 60. 15 minutes is 0.25 hours, 30 minutes is 0.5, 45 minutes is 0.75, and 20 minutes is 0.33 (rounded to two places).

How is overtime calculated?

Under the US federal rule (FLSA), non-exempt employees earn at least 1.5 times their regular rate for hours over 40 in a workweek. Some states also have daily overtime, so check your state's rules.
